What a building manager needs from a mechanical contractor

These are what decide whether a contractor gets added to the approved list or called once and forgotten.

  • A person answers, not a queue

Calls answered 24/7, including nights, weekends, and holidays. A dedicated line, techs on rotation, and a manager on call who dispatches a tech. Office hours are Monday to Friday, 9:00 AM to 5:00 PM, and the phone is covered outside them.

  • A response window on the first call

A tech is typically on site in about 2 hours. That is a typical time, not a guarantee. Ask for a window when you call and you will get a real one.

  • Vendor paperwork on request

Certificate of insurance and W-9 available on request. Ask for our NAICS code at the same time and we will send it along.

  • The unit and the roof it sits on

Prime Guard runs an HVAC side and a roofing side. One call covers the rooftop unit and the membrane under it, instead of two contractors pointing at each other.

  • Credentials and experience

EPA 608 certified. Combined 30 years of HVAC experience. Over 10 years in roofing.

  • Split systems, package units, multi-zone systems

On the roof, not on the phone

A rooftop unit fails differently from a furnace in a basement. The curb leaks, the economizer sticks, a contactor welds shut, and the tenant underneath finds out before the maintenance log does.

Tell us the unit tag, the roof access, and who signs the work order, and we will send someone who can get up there and work rather than someone who has to call back for a purchase order number.

Questions facilities managers ask

Do you cover after hours and weekends?

Calls are answered 24 hours a day, 7 days a week. The office runs Monday to Friday, 9:00 AM to 5:00 PM, and the phone is covered outside those hours. Ask about after-hours rates when you call and we will give you the number before we dispatch.

Can you run a preventative maintenance program on our equipment?

Yes, preventative maintenance programs are on our commercial list. Tell us how many units you have, where they sit, and what your current interval is, and ask what a plan covers when you call.

Can you send a certificate of insurance and a W-9?

Both are available on request. Tell us the certificate holder, the address it goes to, and whether your system needs a NAICS code, and ask for all of it in the same call.

We have more than one building. Can you cover all of them?

We cover Indianapolis and surrounding counties across central Indiana, and a portfolio spread across it routes through one dispatch number. Send us the site list with addresses and access notes and we will tell you plainly which buildings fall inside the area and which do not.

Do you work on tenant build-outs?

Yes. HVAC support for tenant build-outs is on our commercial list, along with commercial ductwork fabrication and installation. Bring us in with the general contractor schedule so the mechanical work is not the thing holding up the certificate of occupancy.

How fast can you get someone on the roof?

Typically about 2 hours across Indianapolis and surrounding counties, and drive time to the outer edge of the area runs longer. Tell us about roof access when you call: hatch or ladder, who holds the key, and whether the building needs us escorted.
